ENTERING TIME OFF REQUESTS¶

You can make requests through the user menu by clicking the icon in the top right corner of the screen, or by clicking on a date in Viewer and then clicking Create Request.

In the user window, you will see which of your current requests have been denied (red), pending (blue), or approved (green). Click on the icon on the right of the pop-up window to make a request.

Select the proper information for the request:

Select the day(s) you wish to make a request for by clicking on them. Then click Next.

Review your request and click Submit to confirm. If your administrator has activated Shift Reasons, you may select one of these in the Reason drop-down menu (in the example below, “Sick” has been selected as the shift reason).
FILLING AN OPEN SHIFT OR A SHIFT CURRENTLY WORKED BY SOMEONE ELSE - Right-click on the open shift or the person’s name whose shift you’d like to pick-up and select “Replace”.

A pop-up with your name and the shift you’re filling will come up. Select “Next”.

A confirmation screen will come up. Select “Submit” to finalize.

Your name will appear in the slot with an arrow pointing from Open Shift or previous physician. Once the pick- up has been approved, the arrow will disappear and your name will completely fill the slot.
REQUESTING ANOTHER PROVIDER WORK YOUR SHIFT¶

Right-click the shift you’re currently assigned and choose “Replace”.

Select the “Personnel” field that currently has your name.

Select the person who is going to take your shift.

The new provider’s name will appear. Select “Next” and then on the following confirmation screen select “Submit”.

An arrow with the new providers name will be added shift slot on the schedule. Once the swap is approved, only the new provider’s name will appear in the shift slot.
SWAPPING SHIFTS – Two steps must be completed AND it is best to talk to a provider and agree on a swap prior to making the swap.
- Follow the steps above to “Fill a Shift Currently Worked by Someone Else”.
- Follow the steps to “Request Another Provider Work Your Shift”.
ADDING A SHIFT TO THE GIVE AWAY POOL - similar to requesting an individual provider take your shift.

Right-click the shift you’d like to add to the giveaway pool and select “Replace”.

In the pop-up window select the “Personnel” field that currently contains your name.

On the list of personnel, choose “All” at the bottom to highlight all eligible providers and then select the checkmark in the upper-right corner.
On the next pop-up window, select “Next” and then on the confirmation pop-up select “Submit”
An email will be sent out, and a radio-wave symbol will now appear next to your name on the schedule, indicating the shift is available for pick-up.
PICKING UP A SHIFT FROM THE GIVEAWAY POOL¶

Find the shift on the schedule you’d like to pick-up (indicated by the radio-wave signal next to the provider’s name on the schedule)

Right-click shift and select “Accept Swaportunity” then select “Submit” on the confirmation page that pops up.

Shifts in the giveaway pool that you’re eligible for should also appear on the “Swaportunity Feed” on your dashboard.
CHANGING SCHEDULE VIEWS¶
There are currently three main options for viewing your schedule.
- Me – This will only show your shifts
- Hospitalist Monthly – This will show scheduled shifts for all providers as well as all requests
- Hospitalist Monthly (No Requests) – This will show all scheduled shifts for all providers but will not show requests To change the view, select the current view at the top of your schedule and in the subsequent pop-up choose the view you’d like to switch to. You can also use this screen to set your current view as the default
ADDING YOUR LIGHTNING BOLT SCHEDULE TO OTHER CALENDARDS (Google calendar, outlook, etc.)¶

Go to the dashboard screen. This can be accessed by the “LB” symbol on the upper-left of your screen.

Select “Sync with Calendar” in the upper-right.

A pop-up window will give you the opportunity to send a calendar link and instructions to your email. You can click “Submit” to send that email.

Many of you may wish to exclude the “Request” shifts from your other calendar (and only include the shifts you are actually working). To do that, choose “Selected Assignments” and “Edit…”. On the subsequent screen, deselect the Request shifts from the bottom returning to the prior screen and sending the email
